My client is a small Multi Family Office headquartered in the region of Zurich. On their behalf I am looking for an entrepreneurial thinking

Family Office Assistant/Associate

As part of the new team you will provide services tailored to the needs and objectives of one of the principle families. Entrepreneurial, philanthropic and cosmopolitan are only three words to describe the family.

The associate acts as the point of contact between the head of the Family Office and their partners, coordinating all activities and handling requests and queries appropriately. This position offers great challenges with lots of flexibility and autonomy in the way of working and the chances to grow with the company. 

In detail this will be the content of this role:

  • Support the head of the family office in any assigned tasks
  • Support of the Investment Manager in client related matters
  • Providing vacation coverage for the head of the family office and investment manager
  • Administration for banking matters, investments etc. including account openings and subsequent KYC matters
  • Ensuring the client documentation and keep records of principals data in the internal system including updating and completion of the files
  • Execution of payments on behalf of clients
  • Cooperation with third parties (Trustees, banks, lawyers, etc.)
  • Update information system with data
  • Preparation of client presentations and visits
  • Supporting property management teams in worldwide locations
  • Supporting charitable endeavours as needed
  • Preparation and filling in of weekly /monthly reports as well as visit reports
  • Organizing meetings and taking minutes
  • Organizing travels for the family (in coordination with external travel agency as well as booking short flights,mostly Europe)
  • Concierge service for the family upon request and in agreement with the head of the family office
  • Providing research as required

We are looking for a versatile self-starter with a high level of discretion and a positive mindset. In detail you should have the following skill set:  

  • Banking or Trustee apprenticeship with federal matura (including BMS)
  • Education or experience in hospitality or retail: nice to have
  • Further education desired (e.g. Bachelor)
  • Excellent English skills
  • Great organisational skills and ability to be proactive and autonomous on business priorities
  • Curious, hands-on, reliable, detail-oriented
  • Enterprising mind and strong ability to learn by doing
